Assistant Property/ Portfolio Manager

General Summary of Responsibilities

Assist Property Manager in supervising all aspects of building operations for commercial, retail, residential and industrial properties.  Includes capital and tenant improvements, tenant retention programs, contract bidding and negotiations, client interaction, legal issues and financial reporting.

Essential Job Functions

  1. Receives incoming calls from property owners, vendors and tenants.
  2. Assist with tenant relations and address the needs of tenants when they call.
  3. Invoices-Accurately codes invoices daily and weekly for Manager approval.
  4. Assists the Portfolio/ Property Manager with Lease Abstracts.
  5. Oversees and enforces service contract duties for all vendors on site.
  6. Collecting Rent-Collects rent from tenants by calling, mailing late charges, or other as directed by manager.  (Ensures that late rent letters are mailed to tenants by the fifth of each month, following up on the Aged Open Invoice Report from the fifth to the tenth of each month.)
  7. Collects bids for capital improvements and TI’s, evaluate current vendor contracts and recommends changes, etc. as needed.
  8. Assists manager oversight of on-site staff on various properties.
  9. Assist with maintenance emergencies tenant/owner/property items (includes logging and memo, follow-up).
  10. Updates and prepares monthly reports of certificates of insurance. Generates standard letter requesting certificate of insurance.
  11. Occasional letter/memo writing and help with information gathering-credit checks, vendor proposals, etc.
  12. Tracks property budgets and compiles variance explanation data.
  13. Assist with the preparation of month end owner reports.
  14. Assists in client initiated audits with Property Manager and accounting.
  15. Assists Property Manager in preparation of the annual budget and operating expense escalations, CAM, tax and insurance billings to tenants.
  16. Updates tenant and employee listing with emergency numbers and updates rent roll.
  17. The Assistant Property Manager shall participate in continuing education programs and in-house meetings and training sessions, as approved or directed by the Regional Manager.

Other Job Functions

  1. Performs property/site inspections with and without manager.
  2. Continually looks to make improvements within all systems of position.
  3. Performs other duties as assigned.

Job Qualifications (Knowledge, Skills and Abilities)

  1. Sufficient education, training and/or work experience to demonstrate possession of the following knowledge, skills and abilities, which would typically be acquired through:  Possession of a Bachelor’s degree from an accredited college or university. 
  2. Computer literate with knowledge of Microsoft Office. (Excel and Word efficient)
  3. Good communication skills-both written and verbal.
  4. Interest in the issues Charles Dunn Company works on.
  5. Understanding of some accounting procedures.
  6. Ability to plan and organize.
